Reports To: President, Junior League of Jackson

Supervises: Controller; Administrative Assistant; all other staff

Committees/Councils: Operations Council, Community Council, Fund Development Council, TOD Council, Operations Advisory, and other committees and councils as appointed by the Board of Directors (BOD). Serves as ex-officio.

The Role: The Chief Operating Officer (COO) is the leader of the Junior League of Jackson (JLJ) staff as they support JLJ Active, Provisional, and Sustainer Members. The COO is an organized team leader, practiced in relationship management, providing organizational continuity, and overseeing the day-to- day operations of the office, ensuring that it runs efficiently and that all JLJ members and staff are supported for success. The COO coordinates the flow of information across the organization. The COO reports to the President (volunteer), and indirectly to the Board of Directors (volunteers). These volunteers change annually.

Requirements: A Bachelor’s degree with five or more years of management experience or equivalent work experience. Non-profit leadership experience is a plus.

Primary Responsibilities:

  • Manage JLJ headquarters and staff and supervise all office tasks
  • Assist in the implementation of the five-year strategic plan as approved by the BOD by providing strategic guidance, support, and continuity
  • Act as a liaison for all incoming officers and council chairs, providing continuity, experience and information coupled with the knowledge of JLJ policies and operations
  • Maintain headquarters physical upkeep, inventory of supplies and oversee of administrative operations and systems in conjunction with the Administrative Assistant
  • Coordinate effective communications across organization
  • Manage JLJ vendors, associated contracts, and agreements
  • Provide general support to the League, such as scheduling meetings and responding to inquiries
  • Assist with development of administrative policies and procedures
  • Serve as liaison to community agencies
  • Support annual budgeting process in conjunction with the Controller and Treasurer (volunteer)
  • Oversee the technical support needs of the volunteers and staff, and make recommendations on new software as needed
  • Make recommendations on continuous improvement of processes, including the addition of staff positions
  • Assist the Administrative Assistant in maintaining all records, minutes, and ballots, specifically for the Board of Directors, Councils, and General Membership meetings
  • Support chairs with projects and documents, ensuring consistency from year to year
  • Keep apprised of new ideas from other Leagues
  • Act as representative of JLJ to guests, other leagues, and members
  • Ensure professional and impactful communications and relationships with sponsors, partners, and the Jackson community and alert JLJ leadership to issues as they arise
  • Build relationships and partnerships through collaboration and teamwork
  • Represent JLJ at AJLI conferences and events when necessary
  • Perform other duties as necessary and assigned by the President and/or Board of Directors

Staff Management:

  • Supervise, review, develop, coach, mentor, and motivate JLJ staff
  • Implement performance standards, conduct regular one-on-one check-ins with staff, and initiate annual performance reviews in collaboration with the Executive Committee
  • Ensure implementation and compliance with policies and procedures of JLJ

Knowledge, Abilities, and Skills:

  • Strong written and verbal communication
  • Strong interpersonal skills
  • Patience while training and supporting incoming leadership as positions change annually
  • Proficient in the use of personal computers, office productivity software, and common business computer technologies (e.g., Windows, Word, Excel, printers, copiers, and scanners)
  • Excellent time management skills and ability to prioritize work and meet deadlines
  • Ability to multitask to complete a wide variety of tasks and projects
  • Flexibility to adjust to new strategies, procedures, and tasks as the organization evolves
  • Collaborative problem-solving by seeking input and ideas from others
  • Maintain confidentiality when sensitive and/or confidential information is received and exercise discretion when communicating with all JLJ members and staff
  • A basic understanding of JLJ organization structure or familiarity with the organization is a plus
  • Ability to function with and without close supervision
  • Ability to lift and move items of over 25 pounds
Special Requirements:
  • Willingness and ability to work after office hours and on weekends when necessary
  • Transportation to attend meetings, events, and various functions as required
  • Ability to work remotely and virtually
